Job Description
The incumbent in this position is responsible for providing comprehensive administrative support services to the Information Technology Department. The individual assists with internal IT operations, departmental communications, HR-related processes, front-office services, switchboard coverage, records management workflows, travel logistics, and vendor coordination. Responsibilities include greeting visitors, facilitating IT walk-up assistance, answering phone calls, and providing accurate information to callers and stakeholders; composing memos, correspondence, and internal communications; maintaining departmental documentation; coordinating staff onboarding and offboarding activities; supporting scheduling and project coordination; and assisting with product research as needed. The incumbent in this position supports records retention tasks; documents service requests in systems such as ServiceNow; maintains and archives departmental records in Laserfiche; and coordinates invoice routing and tracking. The incumbent also generates reports, manages multiple administrative projects, and prepares, audits, and monitors invoices, reimbursements, and expense reports. This position requires strong independent judgment, proactive problem-solving, and the ability to manage multiple priorities while adhering to established policies and procedures. Technical proficiency with tools such as Microsoft Office, Adobe Acrobat, and other business applications is essential. The incumbent is expected to exercise discretion, maintain confidentiality, demonstrate initiative, and consistently support departmental goals. A High School diploma or GED equivalent is required. An Associate’s degree is preferred. Minimum of three (3) years of experience directly related to the duties and responsibilities specified herein. The incumbent must be able to work independently or within diverse groups. Demonstrate excellent organizational and interpersonal skills. Demonstrate excellent written and verbal communication skills. Demonstrate proficiency utilizing Microsoft software packages. Ability to work a flexible schedule including evenings, weekends and holidays.
